Job Description
We are seeking a dedicated and detail-oriented Records Management Specialist with a strong focus on Federal and State Benefits programs to join our team. In this hybrid role, you will be instrumental in managing, organizing, and maintaining critical records related to government benefits, ensuring compliance with all relevant federal and state regulations. This position requires a deep understanding of records retention policies, data privacy laws (e.g., HIPAA, GDPR where applicable to benefits data), and the lifecycle of information within a government context. You will work closely with various stakeholders to implement best practices for records governance, facilitate audits, and support the efficient flow of information crucial for public service delivery.
Key Responsibilities
- Develop, implement, and maintain records management policies and procedures specific to federal and state benefits programs.
- Ensure compliance with all federal and state regulations pertaining to records retention, privacy, and accessibility (e.g., FIPPA, FOIA, HIPAA, state-specific privacy acts).
- Classify, index, store, and retrieve physical and electronic records efficiently.
- Manage the entire lifecycle of records from creation to disposition, including secure archiving and destruction.
- Provide training and support to staff on records management best practices and system usage.
- Conduct regular audits of records systems to ensure accuracy, completeness, and compliance.
- Collaborate with IT and security teams to safeguard sensitive benefits data and records.
- Prepare reports and documentation for regulatory bodies and internal stakeholders.
Required Skills
- Minimum 3 years of experience in records management, preferably in a government or public sector environment.
- Demonstrated knowledge of federal and state records management laws and regulations (e.g., FOIA, FIPPA, NARA guidelines).
- Proficiency with Electronic Records Management Systems (ERMS) and document management software.
- Strong understanding of data privacy and security principles.
- Excellent organizational skills and attention to detail.
- Ability to communicate complex information clearly and effectively to diverse audiences.
Preferred Qualifications
- Bachelor's degree in Library Science, Information Management, Public Administration, or a related field.
- Certified Records Manager (CRM) or other relevant professional certification.
- Experience with Google Workspace and cloud-based recordkeeping solutions.
- Familiarity with specific federal or state benefits programs and their associated recordkeeping requirements.
