Job Description
We are seeking a highly organized and self-motivated Administrative Partner to support various internal teams and projects on a freelance/contract basis. This role is ideal for small business owners or independent contractors looking to leverage their administrative expertise within a dynamic and fast-paced global entertainment company. As an Administrative Partner, you will provide critical support, helping to streamline operations, manage schedules, and ensure efficient communication across departments. This is a fully remote position, offering significant flexibility.
Key Responsibilities
- Manage and maintain complex calendars, including scheduling meetings, appointments, and travel arrangements for multiple stakeholders.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Coordinate and organize virtual meetings, including setting agendas, taking minutes, and tracking action items.
- Assist with data entry, record keeping, and maintenance of various databases and systems.
- Process expense reports and manage invoicing for project-related activities.
- Facilitate internal and external communication, acting as a liaison between teams and external partners.
- Support special projects and initiatives as needed, demonstrating adaptability and proactive problem-solving.
- Handle confidential information with discretion and professionalism.
Required Skills
- Proven experience in an administrative or executive support role.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Ability to work independently and manage multiple projects simultaneously in a remote environment.
- High level of professionalism and attention to detail.
- Strong problem-solving abilities and a proactive approach to work.
Preferred Qualifications
- Experience working in the entertainment, media, or tech industry.
- Familiarity with project management tools (e.g., Asana, Trello, Jira).
- Experience supporting multiple executives or teams concurrently.
- Prior experience as a freelance administrative assistant or small business owner.
