Job Description
We are seeking a highly organized and detail-oriented Personal PA with a strong focus on travel coordination to support a key executive within Lamb Weston Holdings Inc. This hybrid role requires exceptional planning skills, proactive problem-solving, and the ability to manage complex itineraries across multiple time zones. The ideal candidate will be a discreet and resourceful individual, adept at anticipating needs and ensuring seamless travel experiences for the executive, as well as providing comprehensive administrative support. This position is critical to the executive’s productivity and will involve a dynamic mix of in-office presence and remote work flexibility.
Key Responsibilities
- Manage all aspects of domestic and international travel arrangements, including flights, accommodations, ground transportation, and visa requirements.
- Develop detailed itineraries, taking into account time zones, meeting schedules, and personal preferences.
- Proactively monitor travel for delays, cancellations, and disruptions, and implement immediate alternative solutions.
- Prepare comprehensive travel briefs, including confirmations, contact information, and local recommendations.
- Process expense reports accurately and in a timely manner, ensuring compliance with company policies.
- Maintain complex calendars, scheduling meetings, appointments, and conference calls across various stakeholders.
- Coordinate and prepare materials for meetings, presentations, and conferences.
- Handle confidential information with the utmost discretion and professionalism.
- Provide general administrative support, including correspondence, phone management, and document organization.
- Act as a primary point of contact for internal and external communications on behalf of the executive.
Required Skills
- Minimum of 2 years of experience in an administrative or personal assistant role, with a focus on travel coordination.
- Proficiency in G Suite (Gmail, Calendar, Docs, Sheets) and Microsoft Office Suite (Word, Excel, PowerPoint).
- Demonstrated expertise in booking and managing complex domestic and international travel.
- Excellent organizational and time management skills, with the ability to prioritize effectively.
- Strong written and verbal communication skills.
- High level of discretion and ability to handle confidential information.
- Proactive problem-solver with a strong attention to detail.
- Ability to work independently and as part of a team in a fast-paced environment.
Preferred Qualifications
- Associate's or Bachelor's degree in Business Administration or a related field.
- Experience with corporate travel platforms and expense management software (e.g., Concur).
- Familiarity with international travel regulations and visa processes.
- Ability to adapt to changing priorities and unexpected situations with grace and efficiency.
