Job Description

We are seeking a highly organized and proactive Virtual Office Assistant to join our remote team. This role is crucial in supporting our daily operations, ensuring smooth administrative processes, and contributing to the overall efficiency of our virtual office environment. The ideal candidate will be self-motivated, possess excellent communication skills, and be adept at managing multiple tasks in a fast-paced setting. This is a 100% remote position, and we offer equipment reimbursement to ensure you have the tools you need to succeed.

Key Responsibilities

  • Manage and organize virtual calendars, including scheduling meetings and appointments.
  • Prepare and distribute communications, such as memos, emails, and reports.
  • Handle data entry, filing, and maintain digital records with high accuracy.
  • Assist with basic financial tasks, including processing invoices and tracking expenses.
  • Coordinate and prepare materials for presentations and virtual meetings.
  • Provide administrative support to various departments as needed.
  • Manage office supplies inventory and facilitate procurement when necessary (virtual equivalent).

Required Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills in English and French (bilingualism preferred for Montreal).
  • Strong organizational and time management abilities.
  • Ability to work independently and collaboratively in a virtual team environment.
  • High level of discretion and confidentiality.
  • Reliable internet connection and a dedicated home office setup.

Preferred Qualifications

  • Previous experience in a virtual assistant or remote administrative role.
