Job Description
We are seeking a highly organized and detail-oriented Virtual Policy Document Controller with a focus on filing and records management to join our team. This role is crucial for ensuring the integrity, accessibility, and compliance of all company policies and essential records. The successful candidate will be responsible for managing documents throughout their lifecycle in a secure, virtual environment, upholding strict standards for accuracy and confidentiality.
Key Responsibilities
- Maintain and organize virtual policy and record repositories using established document management systems.
- Ensure all documents comply with company standards, industry regulations, and legal requirements.
- Manage document lifecycles, including creation, review, approval, distribution, revision, and secure archiving.
- Assist in retrieving documents promptly for internal and external audits, compliance checks, and legal requests.
- Provide technical support and guidance for document control systems and processes to internal stakeholders.
- Collaborate effectively with various departments to ensure accurate, timely, and consistent documentation practices.
- Implement and monitor version control procedures to prevent unauthorized access and ensure data integrity.
- Identify and recommend improvements to virtual document control processes and tools.
Required Skills
- Proficiency in enterprise-level document management systems (e.g., SharePoint, Documentum, OpenText).
- Exceptional organizational skills and meticulous attention to detail.
- Strong written and verbal communication skills for clear documentation and cross-functional collaboration.
- Proven ability to work independently, prioritize tasks, and manage time effectively in a remote setting.
- Familiarity with compliance and regulatory standards relevant to document control (e.g., ISO, ITAR).
- High level of proficiency with Microsoft Office Suite (Word, Excel, PowerPoint).
Preferred Qualifications
- Associate's or Bachelor's degree in Business Administration, Information Management, Library Science, or a related field.
- Previous experience in a document control, records management, or administrative support role within a regulated industry.
- Knowledge of specific industry regulations related to aerospace, defense, or government contracts.
- Experience with virtual collaboration tools and digital workflow automation.
- Certification in document management or records management (e.g., CRM).
