Job Description

Akerman LLP is seeking a highly organized, proactive, and detail-oriented Executive Admin Support professional to join our team in Wesley Chapel, Florida. This pivotal role provides comprehensive administrative and secretarial support to senior attorneys and partners, ensuring the smooth and efficient operation of their practices. The ideal candidate will possess exceptional communication skills, a strong ability to multitask in a fast-paced legal environment, and a commitment to maintaining confidentiality and professionalism. Key Responsibilities

  • Manage complex calendars, schedule meetings, and coordinate travel arrangements for assigned attorneys.
  • Prepare and edit legal documents, correspondence, presentations, and reports with high accuracy.
  • Handle incoming calls, screen visitors, and manage internal and external communications effectively.
  • Process expense reports, invoices, and maintain accurate financial records.
  • Organize and maintain physical and electronic filing systems, ensuring document integrity and accessibility.
  • Assist with client billing processes, time entry, and collections as needed.
  • Conduct research and compile information for various projects and presentations.
  • Coordinate special projects, events, and initiatives as directed by attorneys.
  • Provide general office support, including ordering supplies and managing mail.

Required Skills

  • Minimum of 4 years of administrative support experience, preferably in a legal or professional services environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Exceptional organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to prioritize tasks and manage multiple deadlines effectively.
  • High level of professionalism and discretion.
  • Experience with legal document formatting and terminology.

Preferred Qualifications

  • Associate's or Bachelor's degree in Business Administration or a related field.
  • Experience with legal practice management software (e.g., Aderant, Elite, Clio).
  • Notary Public commission.
  • Familiarity with e-filing systems.
