Job Description

We are seeking a dedicated and detail-oriented Records Management Specialist with a strong focus on Federal and State Benefits. In this role, you will be instrumental in managing, organizing, and maintaining critical records related to government benefit programs, ensuring compliance with all regulatory standards and internal policies. You will work with various data systems, including those utilizing Google tools and platforms, to ensure the integrity, accessibility, and security of sensitive information. This position requires a proactive approach to records lifecycle management, from creation and storage to retrieval and eventual disposition, all while upholding the highest standards of data privacy and confidentiality.

Key Responsibilities

  • Develop, implement, and maintain comprehensive records management policies and procedures specific to Federal and State Benefits programs.
  • Categorize, index, and store physical and electronic records in accordance with established guidelines and legal requirements.
  • Manage the full lifecycle of records, including creation, active use, maintenance, and disposition.
  • Ensure the accuracy, completeness, and accessibility of all records, facilitating timely retrieval for audits, compliance reviews, and operational needs.
  • Collaborate with various departments to standardize records management practices and provide training on best practices.
  • Utilize Google Workspace (Google Drive, Docs, Sheets) and other relevant platforms for electronic records management.
  • Conduct regular audits of records systems to identify and address potential compliance issues or inefficiencies.
  • Stay informed about changes in Federal and State regulations pertaining to records management and data privacy within benefits programs.
  • Assist in the preparation of reports and documentation required by government agencies or internal stakeholders.
  • Safeguard sensitive and confidential information, adhering strictly to data protection and privacy protocols.

Required Skills

  • Proficiency in records management principles and practices
  • Familiarity with Federal and State records retention schedules and compliance requirements (e.g., HIPAA, FERPA, FOIA)
  • Experience with electronic document management systems (EDMS)
  • Strong organizational skills and meticulous attention to detail
  • Excellent written and verbal communication skills
  • Ability to work independently and as part of a team
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Experience with Google Workspace (formerly G Suite) for data and document management

Preferred Qualifications

  • Bachelor's degree in Library Science, Information Management, Public Administration, or a related field
  • Certified Records Manager (CRM) certification or equivalent
  • Experience working with government contractors or within a government agency environment
  • Knowledge of specific Federal or State benefits programs (e.g., Medicaid, SNAP, TANF)
  • Experience in data governance and data security best practices
