Job Description
We are seeking a highly motivated and detail-oriented Records Management Assistant with a focus on AI and Digital Data to join our team in Arvada, CO. In this critical role, you will support the efficient organization, storage, and retrieval of digital information, leveraging artificial intelligence tools to enhance data integrity and accessibility. This position is ideal for an individual passionate about digital transformation, data governance, and the application of AI in records management. You will play a key part in maintaining our digital archives, ensuring compliance with data privacy regulations, and contributing to the development of intelligent data management solutions. This is an on-site position requiring your presence at our Arvada office.
Key Responsibilities
- Manage and organize digital records, documents, and data across various platforms.
- Utilize AI-powered tools and software to categorize, tag, and index digital assets for improved search and retrieval.
- Ensure the accuracy, completeness, and integrity of digital records.
- Assist in the development and implementation of digital records management policies and procedures.
- Support data migration efforts, transferring physical records to digital formats and vice versa when necessary.
- Monitor and maintain data security and confidentiality in accordance with company policies and regulatory requirements.
- Generate reports on data usage, retrieval rates, and compliance metrics.
- Collaborate with IT and data science teams to optimize AI tools for records management.
- Provide training and support to staff on digital records management best practices and system usage.
- Assist with internal and external audits related to data governance and records compliance.
Required Skills
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with digital document management systems (DMS) or enterprise content management (ECM) platforms.
- Basic understanding of data privacy regulations (e.g., GDPR, CCPA).
- A keen interest in artificial intelligence, machine learning, and digital data trends.
- Ability to work independently and as part of a team.
- Strong written and verbal communication skills.
Preferred Qualifications
- Associate's or Bachelor's degree in Library Science, Information Management, Computer Science, or a related field.
- Experience with AI-driven document processing or data classification tools.
- Knowledge of records retention schedules and legal hold processes.
- Certifications in records management (e.g., CRM) or data governance.
