Job Description

We are seeking a highly organized and proactive WFH EA Project Lead with a strong focus on supporting our remote engineering teams. This critical role involves providing high-level executive assistance to engineering leadership while also taking the lead on various operational projects that streamline workflows and enhance team efficiency across distributed environments. The ideal candidate will be a self-starter, possess exceptional communication skills, and have a proven ability to manage complex schedules, coordinate large-scale initiatives, and anticipate the needs of a fast-paced engineering organization. This position is 100% remote, offering flexibility and the opportunity to work from anywhere within the United States.

Key Responsibilities

  • Provide comprehensive administrative and project management support to senior engineering leaders, managing complex calendars, travel arrangements, and expense reports.
  • Lead and manage operational projects from conception to completion, focusing on improving efficiency and collaboration for remote engineering teams.
  • Coordinate and facilitate internal and external meetings, including agenda preparation, minute taking, action item tracking, and technology setup for virtual environments.
  • Develop and maintain documentation, reports, and presentations for leadership reviews and team communications.
  • Act as a primary point of contact for internal and external stakeholders, handling inquiries and facilitating communication flows.
  • Assist with budgeting, resource allocation, and tracking for various engineering initiatives.
  • Onboard new team members and ensure a smooth integration into remote work protocols and team culture.
  • Identify and implement tools and processes to optimize remote team productivity and engagement.
  • Anticipate needs and proactively address potential challenges, demonstrating strong problem-solving capabilities.

Required Skills

  • Minimum of 5 years of experience in an Executive Assistant or Project Coordinator role, ideally supporting engineering or technology leadership.
  • Proven experience managing projects independently, with a track record of successful outcomes.
  • Exceptional organizational and time management skills, with the ability to prioritize and manage multiple tasks effectively in a remote setting.
  • Strong proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets, Slides) and collaboration tools (e.g., Slack, Microsoft Teams).
  • Excellent written and verbal communication skills, with a keen eye for detail.
  • Ability to work autonomously and demonstrate initiative, adaptability, and resilience.
  • Understanding of basic project management methodologies and tools.
  • High level of discretion and ability to handle confidential information with integrity.

Preferred Qualifications

  • Bachelor's degree in Business Administration, Communications, or a related field.
  • Experience working in a large, global technology company.
  • Familiarity with Agile or Scrum methodologies.
  • Experience with project management software (e.g., Asana, Jira, Trello).
  • Certifications in project management (e.g., CAPM, PMP).
