Job Description

We are seeking a highly organized, friendly, and detail-oriented Front Desk Coordinator to be the welcoming face and efficient backbone of our busy skin clinic. In this pivotal role, you will manage all front desk operations, ensuring a seamless and positive experience for every client from their initial contact to their departure. The ideal candidate will possess excellent communication skills, a proactive attitude, and a passion for customer service in a professional medical aesthetic setting. This role is crucial to maintaining our clinic’s reputation for outstanding client care and operational efficiency.

Key Responsibilities

  • Warmly greet and welcome all clients and visitors to the clinic, ensuring a positive first impression.
  • Manage a multi-line phone system, handle inquiries, and schedule appointments efficiently and accurately.
  • Process client registrations, update records, and maintain confidential patient information.
  • Handle billing, payments, and insurance claims accurately using clinic software.
  • Oversee the waiting area, ensuring it remains tidy and comfortable for clients.
  • Assist with administrative tasks such as filing, scanning, data entry, and inventory management for front-desk supplies.
  • Coordinate with clinic staff to ensure smooth patient flow and timely service delivery.
  • Educate clients on clinic services, promotions, and product offerings.
  • Resolve client concerns and inquiries with professionalism and empathy.
  • Maintain a comprehensive understanding of all clinic services, pricing, and appointment types.

Required Skills

  • Minimum 1 year of experience in a customer service or administrative role, preferably in a medical or spa environment.
  • Exceptional interpersonal and communication skills (written and verbal).
  • Strong organizational abilities and attention to detail.
  • Proficiency with office software (MS Office Suite) and the ability to quickly learn new clinic management systems.
  • Ability to multitask and prioritize in a fast-paced environment.
  • A professional and positive demeanor.
  • Demonstrated ability to maintain patient confidentiality.

Preferred Qualifications

  • Experience with medical aesthetic clinic software (e.g., Jane App, Mindbody).
  • Familiarity with medical terminology.
