Job Description

We are seeking a proactive and highly organized Construction Admin Assistant with a White Card and a strong site focus to join our dynamic team in Charlotte, NC. This critical role provides essential administrative support to our project managers and site teams, ensuring smooth daily operations, efficient document flow, and effective communication. The ideal candidate will thrive in a fast-paced construction environment, possess excellent organizational skills, and be committed to supporting project success from the ground up.

Key Responsibilities

  • Manage and maintain project documentation, including contracts, permits, drawings, RFIs, and submittals, ensuring accuracy and accessibility.
  • Coordinate meetings, prepare agendas, record minutes, and follow up on action items for site and project team gatherings.
  • Assist with data entry, report generation, and tracking project progress using various construction management software.
  • Handle correspondence, phone calls, and inquiries, acting as a primary point of contact for internal teams and external stakeholders.
  • Support site logistics, including coordinating deliveries, managing office supplies, and assisting with site-specific administrative needs.
  • Facilitate new hire onboarding for site personnel, including safety inductions and necessary paperwork.
  • Ensure compliance with all safety protocols and company policies, contributing to a safe working environment.
  • Perform general administrative tasks as required to support the construction project team.

Required Skills

  • Valid White Card (or equivalent construction general induction card, e.g., OSHA 10/30)
  • Proven experience in an administrative support role, preferably within the construction or related industry.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Exceptional organizational and time management skills, with the ability to prioritize tasks effectively.
  • Strong written and verbal communication skills.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • High level of attention to detail and accuracy.

Preferred Qualifications

  • Associate's or Bachelor's degree in Business Administration, Construction Management, or a related field.
  • Familiarity with construction management software (e.g., Procore, Bluebeam, CMiC).
  • Experience with document control systems.
  • Understanding of construction terminology and processes.
