Job Description

We are seeking a diligent, highly organised, and motivated Department of Education Clerical Assistant to join our dedicated team on a term-time basis within Wolverhampton City Council. This pivotal on-site role is based at our Civic Centre in Wolverhampton and supports the crucial administrative functions of our education department, ensuring seamless operations and efficient service delivery across our schools and educational services. The ideal candidate will be proactive, possess excellent organisational and communication skills, and demonstrate a strong commitment to supporting the educational infrastructure of our city. You will be instrumental in handling a diverse range of administrative tasks, providing vital assistance to staff, parents, and students, and contributing to a positive, productive, and nurturing environment.

Key Responsibilities

  • Provide comprehensive administrative and secretarial support to the Department of Education.
  • Manage, organise, and maintain accurate records, databases, and both physical and electronic filing systems.
  • Efficiently handle all incoming and outgoing correspondence, including professional emails, letters, and telephone calls.
  • Assist proactively with the preparation and formatting of various reports, presentations, and other important departmental documents.
  • Coordinate and schedule meetings, appointments, and manage complex diaries for senior departmental staff.
  • Process invoices, expense claims, and other financial documentation diligently in strict accordance with council financial procedures.
  • Professionally greet visitors and provide general information and assistance with a friendly and helpful demeanour.
  • Monitor and order office supplies and equipment, ensuring adequate stock levels are maintained.
  • Support the successful organisation and execution of departmental events, workshops, and activities.
  • Adhere strictly to all council policies and procedures, including robust guidelines related to data protection, confidentiality, and safeguarding.
  • Assist with pupil record management and data entry as required.

Required Skills

  • Proven experience (minimum 6 months) in a busy administrative or clerical role, with a strong preference for experience within an educational or public sector setting.
  • Exceptional communication skills, both written and verbal, with the ability to interact professionally at all levels.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and general computer literacy.
  • Strong organisational abilities and meticulous attention to detail, coupled with excellent time management skills.
  • Demonstrated ability to work effectively both independently and collaboratively as a valuable team member.
  • Reliable and capable of handling sensitive and confidential information with utmost discretion and integrity.
  • A genuine commitment to providing outstanding customer service and supporting essential public services.

Preferred Qualifications

  • GCSEs or equivalent qualifications, including a grade C/4 or above in English and Maths.
  • A relevant administrative qualification, such as an NVQ Level 2/3 in Business Administration.
  • Prior familiarity with local government structures, educational legislation, or school administrative systems.
  • Experience with CRM systems or similar database management and record-keeping tools.
