Job Description

We are seeking a highly organized and proactive Office Coordinator to join our Corporate Logistics team in Tucson, AZ. This role is crucial for ensuring the smooth administrative and operational flow of our logistics department. The ideal candidate will provide essential administrative support, coordinate logistics activities, manage office supplies, and act as a central point of contact for internal and external communications related to our supply chain operations. You will play a vital role in supporting our team to maintain efficiency and productivity within a fast-paced environment.

Key Responsibilities

  • Provide comprehensive administrative support to the Corporate Logistics team, including scheduling meetings, managing calendars, and preparing presentations.
  • Coordinate the dispatch and tracking of internal company shipments and supplies, ensuring timely delivery and accurate record-keeping.
  • Manage office inventory, order supplies, and maintain equipment to ensure the logistics department operates efficiently.
  • Act as a primary point of contact for inquiries related to logistics operations, forwarding complex issues to appropriate personnel.
  • Assist in the preparation of reports, data entry, and documentation for logistics performance and compliance.
  • Organize and maintain physical and digital filing systems for contracts, vendor agreements, and operational records.
  • Facilitate internal communication within the logistics department and with other departments, ensuring information is shared effectively.
  • Support onboarding processes for new team members within the logistics group.

Required Skills

  • Excellent organizational and time management skills with a strong attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong verbal and written communication skills.
  • Ability to multitask and prioritize effectively in a dynamic environment.
  • Proven ability to work independently and as part of a team.
  • Problem-solving aptitude.

Preferred Qualifications

  • Associate's or Bachelor's degree in Business Administration, Logistics, or a related field.
  • Previous experience in an administrative or coordination role within a logistics, supply chain, or corporate office setting.
  • Familiarity with logistics software or enterprise resource planning (ERP) systems.
  • Knowledge of basic accounting principles for budget tracking and expense reporting.
