Job Description
We are seeking a highly organized and proactive Administrative Support Officer to join our dynamic team. This role is crucial for ensuring the smooth operation of our offices and supporting our various departments across the USA. The successful candidate will be responsible for a wide range of administrative and clerical tasks, playing a key role in our daily efficiency and productivity. This is an exciting opportunity for an individual with strong administrative skills and a desire to contribute to a leading global company. While the role supports ‘All USA Regions’ in its scope, this particular position will be based out of our Streeterville, Chicago office with a hybrid work model.
Key Responsibilities
- Manage and maintain executive schedules, including arranging meetings, appointments, and travel itineraries.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Organize and coordinate office operations and procedures to ensure organizational effectiveness and efficiency.
- Handle incoming and outgoing communications, including phone calls, emails, and mail.
- Maintain confidential records and files, ensuring information is securely stored and easily accessible.
- Assist with onboarding new employees, including preparing workstations and necessary documentation.
- Oversee office supplies inventory and place orders when necessary.
- Coordinate company events, meetings, and team-building activities.
- Process expense reports and assist with basic budgetary tracking.
- Provide general administrative support to various teams and projects as needed.
Required Skills
- Proven experience in an administrative or executive assistant role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills.
- Strong organizational and time management abilities.
- Ability to prioritize tasks and work independently with minimal supervision.
- High level of discretion and confidentiality.
- Attention to detail and problem-solving skills.
Preferred Qualifications
- Associate's or Bachelor's degree in Business Administration or a related field.
- Experience with project management software or CRM systems.
- Familiarity with corporate travel booking platforms.
- Experience working in a large, fast-paced corporate environment.
