Job Description

We are seeking a highly organized and proactive Public Sector Events Logistics Assistant to support the planning, coordination, and execution of a diverse range of city-sponsored events. This role is crucial in ensuring the smooth operation of public gatherings, community celebrations, and official functions. The ideal candidate will be detail-oriented, possess excellent communication skills, and thrive in a fast-paced public service environment. You will work closely with various city departments, external vendors, and community stakeholders to deliver successful and impactful events.

Key Responsibilities

  • Assist in the logistical planning and execution of city-sponsored events, including festivals, public meetings, ceremonies, and workshops.
  • Coordinate with internal departments (e.g., Public Works, Parks & Recreation, Police, Fire) to secure necessary resources and services.
  • Manage vendor relationships, including booking venues, catering, equipment rentals, and entertainment.
  • Prepare event timelines, schedules, and checklists to ensure all tasks are completed efficiently.
  • Assist with on-site event setup, registration, management, and breakdown.
  • Maintain accurate records of event budgets, expenditures, and post-event evaluations.
  • Handle event-related communications, including drafting announcements, invitations, and follow-up correspondence.
  • Provide administrative support to the events team, including scheduling meetings and managing documentation.
  • Ensure compliance with all relevant city regulations, permits, and safety guidelines for public events.

Required Skills

  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to work effectively both independently and as part of a team.
  • Demonstrated problem-solving skills and ability to adapt to changing priorities.

  • Ability to lift and move event-related equipment up to 25 lbs.

Preferred Qualifications

  • Associate's or Bachelor's degree in Event Management, Public Administration, Communications, or a related field.
  • Previous experience in event coordination or administrative support, preferably in a public sector or non-profit setting.
  • Knowledge of local government operations and community engagement practices.
  • Experience with event management software or CRM systems.
