Job Description
We are seeking a highly skilled, proactive, and exceptionally organized Executive Assistant to provide comprehensive administrative support to our Chief Executive Officer. This critical role requires a professional who can anticipate needs, manage complex schedules, facilitate communication, and handle confidential information with the utmost discretion. The ideal candidate will be a strategic partner, enabling the CEO to focus on core business objectives and strategic initiatives. This position offers a unique opportunity to work closely with senior leadership and contribute to the highest levels of our organization, with significant earning potential for an individual who consistently exceeds expectations.
Key Responsibilities
- Manage and maintain the CEO's dynamic calendar, including scheduling appointments, meetings, and travel arrangements with meticulous attention to detail.
- Act as a primary point of contact for internal and external stakeholders, screening and prioritizing communications (emails, calls, correspondence).
- Prepare and compile presentations, reports, and other documents for executive meetings and external engagements.
- Coordinate and manage complex domestic and international travel logistics, including itineraries, accommodation, and ground transportation.
- Process expense reports accurately and in a timely manner, ensuring compliance with company policies.
- Organize and facilitate executive meetings, including preparing agendas, taking minutes, and tracking action items.
- Handle confidential and sensitive information with professionalism and discretion.
- Assist with special projects and initiatives as directed by the CEO, requiring research, data compilation, and follow-through.
- Oversee office organization and supply management for the executive suite, ensuring a professional and efficient environment.
Required Skills
- Proven experience supporting C-level executives (CEO, President, etc.).
- Exceptional organizational and time management skills with the ability to prioritize and multitask effectively.
- Superior written and verbal communication skills, with a strong command of grammar and professional etiquette.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant business software.
- High level of discretion and ability to handle confidential information.
- Proactive problem-solving skills and a strong sense of initiative.
- Demonstrated ability to work independently and as part of a team in a fast-paced environment.
Preferred Qualifications
- Bachelor's degree in Business Administration or a related field.
- Experience in the financial services industry.
- Familiarity with project management tools and collaboration platforms.
- Experience managing complex travel logistics across multiple time zones.
