Job Description
We are seeking a dedicated Records Management Specialist with a strong focus on Federal and State Benefits to join our team in Kansas City, MO. This role is crucial for ensuring the proper handling, organization, and compliance of sensitive records related to various government benefits programs. The ideal candidate will have a robust understanding of records management best practices, an in-depth knowledge of federal and state regulations governing benefits, and experience utilizing modern document management systems, potentially including Google Workspace tools. You will be instrumental in developing and implementing records policies, ensuring data integrity, and supporting our clients’ critical operations.
Key Responsibilities
- Develop, implement, and maintain comprehensive records management policies and procedures in alignment with federal and state regulations (e.g., HIPAA, FOIA, specific benefit program guidelines).
- Oversee the full lifecycle of physical and electronic records related to federal and state benefits, including creation, receipt, maintenance, use, and disposition.
- Ensure strict compliance with all applicable laws, regulations, and internal policies concerning data privacy, security, and accessibility of benefit records.
- Utilize and manage document management systems (DMS) effectively, potentially integrating solutions within the Google Workspace environment to optimize records access and retrieval.
- Conduct regular audits and assessments of records management practices to identify areas for improvement and ensure ongoing compliance.
- Provide training and guidance to staff on records management best practices, retention schedules, and legal requirements.
- Collaborate with legal, IT, and program teams to address records-related issues and support compliance initiatives.
- Manage record archiving, retrieval, and destruction processes in accordance with established retention schedules.
Required Skills
- Proven experience in records management, specifically within a federal or state government context.
- In-depth knowledge of federal and state regulations pertaining to benefits programs (e.g., Social Security, Medicare, Medicaid, Veterans Affairs) and associated records retention.
- Proficiency with electronic document management systems (DMS) and record-keeping software.
- Strong understanding of data privacy and security principles (e.g., HIPAA).
- Excellent analytical, organizational, and problem-solving skills.
- Ability to communicate complex information clearly and effectively, both verbally and in writing.
- Bachelor's degree in Library Science, Information Management, Public Administration, or a related field.
Preferred Qualifications
- Certified Records Manager (CRM) or equivalent professional certification.
- Experience with Google Workspace (Google Drive, Google Vault) for records management.
- Previous experience working with government contractors or within public sector agencies.
- Master's degree in a relevant discipline.
