Job Description
We are seeking a highly professional and organized Receptionist to join our dynamic team in the energy sector. This role is pivotal as the first point of contact for our valued clients, partners, and employees. The ideal candidate will possess an impeccable professional look, excellent communication skills, and a proactive approach to managing a busy reception area. You will be responsible for creating a welcoming environment, managing administrative tasks, and supporting various departments within our Uptown Dallas office.
Key Responsibilities
- Greet and welcome guests in a professional and friendly manner, directing them to the appropriate personnel or departments.
- Manage incoming calls, faxes, and correspondence, ensuring prompt and accurate routing.
- Maintain a tidy, organized, and professional reception area at all times.
- Schedule and coordinate meetings, conferences, and appointments, including room bookings and refreshments.
- Assist with basic administrative tasks such as data entry, filing, copying, and preparing documents.
- Handle incoming and outgoing mail and packages.
- Order and maintain office supplies inventory.
- Liaise with internal teams and external vendors as required.
- Provide general administrative support to various departments, contributing to efficient office operations.
Required Skills
- Proven experience as a Receptionist, Front Office Representative, or similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent communication and interpersonal skills.
- Professional appearance and demeanor.
- Strong organizational and multitasking abilities.
- Ability to be resourceful and proactive when issues arise.
- Customer service-oriented approach.
Preferred Qualifications
- Associate’s degree or higher in Business Administration or a related field.
- Experience working within the energy or corporate sector.
- Familiarity with office equipment (e.g., printers, fax machines, phone systems).
- Ability to handle confidential information with discretion.
