Job Description

We are looking for a highly organized and proactive Office Services Coordinator to join our dynamic team in Saint Paul. This role is essential for ensuring the smooth and efficient operation of our professional office environment. The ideal candidate will be a meticulous planner, an excellent communicator, and possess a strong commitment to providing exceptional support to our staff and visitors. You will be at the heart of our daily operations, managing various administrative tasks and contributing to a positive and productive workplace.

Key Responsibilities

  • Manage incoming and outgoing mail, packages, and deliveries.
  • Oversee office supply inventory, ordering, and distribution, ensuring adequate stock levels.
  • Coordinate and schedule meeting rooms, ensuring readiness and necessary equipment functionality.
  • Act as the primary point of contact for office vendors and service providers (e.g., cleaning, maintenance, catering).
  • Assist with facilities management, including light maintenance requests and coordinating repairs.
  • Greet visitors, manage visitor registration, and direct them appropriately.
  • Maintain a tidy and professional office appearance, including common areas and reception.
  • Support event planning and execution for internal meetings and corporate functions.
  • Assist with expense reporting and basic record-keeping as required.
  • Handle various administrative tasks, including data entry, filing, and document management.
  • Ensure compliance with office safety and security procedures.
  • Provide ad-hoc administrative support to different departments as needed.

Required Skills

  • Proven experience in an administrative or office support role.
  • Excellent organizational and time management skills with the ability to prioritize tasks effectively.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
