Job Description
We are seeking a highly organized and customer-focused Remote Receptionist to join our dynamic team. This is a stable, full-time position where you will be the first point of contact for our clients, handling all incoming calls and inquiries virtually. You will be responsible for providing professional and efficient administrative support, ensuring a smooth communication flow, and contributing to a positive client experience from a remote work environment.
Key Responsibilities
- Manage a high volume of incoming calls via computer-based phone systems.
- Professionally greet callers, identify their needs, and direct them to the appropriate department or individual.
- Take accurate messages and ensure timely delivery to the intended recipients.
- Provide general information about the company and its services.
- Schedule and confirm appointments or meetings as required.
- Maintain and update virtual contact lists and client databases.
- Perform basic administrative tasks, such as data entry and email correspondence.
- Handle and resolve basic inquiries or escalate complex issues to senior staff.
- Maintain a high level of confidentiality and discretion with sensitive information.
- Collaborate with team members to ensure seamless communication and service delivery.
Required Skills
- Excellent verbal and written communication skills in English.
- Proficiency in using computer-based phone systems and standard office software (MS Office Suite, Google Workspace).
- Strong organizational and time management abilities.
- Ability to multitask and prioritize in a fast-paced environment.
- Exceptional customer service and interpersonal skills.
- Reliable high-speed internet connection and a quiet, dedicated home office space.
- Problem-solving aptitude and attention to detail.
Preferred Qualifications
- Previous experience in a remote administrative or receptionist role.
- Familiarity with CRM software.
- A post-secondary diploma or certificate in office administration or a related field.
- Bilingualism (English and French) is an asset.
