Job Description

We are seeking a highly organized, proactive, and tech-savvy Virtual Admin to support our dynamic partnerships with emerging AI startups. This 100% remote role is perfect for an ambitious individual eager to contribute to the fast-paced world of artificial intelligence and grow their career within a supportive, innovative ecosystem. You will be instrumental in ensuring smooth operations, effective communication, and efficient project management for our startup collaborations.

Key Responsibilities

  • Provide comprehensive administrative support to project leads and startup partners, managing schedules, correspondence, and documentation.
  • Organize and coordinate virtual meetings, workshops, and events, including preparing agendas and taking minutes.
  • Manage and maintain digital filing systems, databases, and collaboration platforms.
  • Assist with research, data compilation, and report generation related to AI startup activities.
  • Facilitate communication channels between internal teams and external startup stakeholders.
  • Support onboarding processes for new startup partners, ensuring they have access to necessary resources.
  • Proactively identify administrative needs and implement solutions to streamline workflows.

Required Skills

  • Exceptional organizational and time management skills.
  • Proficiency in G Suite (Gmail, Calendar, Docs, Sheets) and Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong verbal and written communication abilities.
  • Demonstrated ability to work independently and manage multiple priorities in a remote environment.
  • A keen interest in technology, particularly artificial intelligence and startups.
  • High level of discretion and professionalism.

Preferred Qualifications

  • Experience supporting executives or project managers in a fast-paced technology or startup environment.
  • Familiarity with project management tools (e.g., Asana, Trello, Jira).
  • Basic understanding of AI concepts or previous exposure to the AI industry.
  • Associate's or Bachelor's degree in Business Administration or a related field.
