Job Description

We are seeking a dedicated and detail-oriented Virtual Receptionist with a primary focus on online chat and email correspondence to join our remote team. In this role, you will be the first point of contact for our clients’ customers, providing exceptional support, answering inquiries, and managing communications entirely through digital channels. This is a 100% remote position, offering flexibility and the opportunity to work from anywhere within the specified region.

Key Responsibilities

  • Respond to client inquiries via live chat and email in a timely, professional, and friendly manner.
  • Manage incoming messages, provide accurate information, and resolve customer issues efficiently.
  • Schedule appointments, make reservations, and manage calendars for various clients.
  • Filter and direct inquiries to the appropriate departments or personnel.
  • Perform data entry and update client records in CRM systems.
  • Assist with basic administrative tasks as needed to support client operations.
  • Maintain a high level of confidentiality and professionalism in all communications.
  • Collaborate with team members to ensure consistent service delivery and continuous improvement.

Required Skills

  • Exceptional written communication and grammar skills in English (US English).
  • Proficiency in typing with speed and accuracy.
  • Strong technical aptitude and comfort with various chat platforms and email systems.
  • Ability to multitask, prioritize, and manage time effectively in a fast-paced environment.

Preferred Qualifications

  • Previous experience in a virtual assistant, online customer support, or remote receptionist role.
  • Familiarity with CRM software (e.g., Salesforce, HubSpot) and scheduling tools.
  • Experience with live chat software (e.g., Zendesk Chat, Intercom).
  • Associate's degree or equivalent professional certifications.
