Job Description

We are seeking a highly organized and proactive Technical Admin Assistant with a focus on Software & IT to join our dynamic technology team in Minneapolis. This role is crucial for ensuring the smooth operation of our software and IT departments by providing comprehensive administrative and foundational technical support. You will be responsible for a wide range of tasks, from managing schedules and documentation to assisting with IT asset management and basic technical troubleshooting. The ideal candidate will have a strong interest in technology, excellent communication skills, and the ability to multitask effectively in a fast-paced, evolving environment. This is a hybrid role, offering the flexibility of both in-office collaboration and remote work.

Key Responsibilities

  • Provide administrative support to the IT and Software Development teams, including scheduling meetings, managing calendars, and preparing presentations.
  • Maintain and organize technical documentation, project files, and departmental records with precision.
  • Assist with the procurement, tracking, and inventory management of IT assets (hardware and software licenses).
  • Coordinate onboarding and offboarding processes for new and departing team members, including setting up workstations and managing access permissions.
  • Act as a primary point of contact for basic IT support inquiries, efficiently escalating complex issues to the appropriate technical personnel.
  • Manage communication flow within the department and with external vendors, ensuring timely and clear correspondence.
  • Process invoices, expense reports, and assist with departmental budget tracking.
  • Support event planning and coordination for team meetings, workshops, and training sessions.
  • Contribute to a positive and productive team environment by demonstrating initiative and a proactive approach.

Required Skills

  • Proven administrative experience, preferably within a technology or corporate setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and modern collaboration tools.
  • Strong organizational skills, exceptional attention to detail, and ability to manage multiple priorities.
  • Excellent written and verbal communication skills, with a professional demeanor.
  • Ability to quickly learn new software systems, tools, and processes.
  • Basic understanding of IT concepts and terminology.
  • Demonstrated problem-solving abilities and a proactive mindset.

Preferred Qualifications

  • Associate's or Bachelor's degree in Business Administration, Information Technology, or a related field.
  • Experience with project management software (e.g., Jira, Asana) or ticketing systems.
  • Familiarity with IT asset management principles and lifecycle.
  • Previous experience in a large retail or e-commerce environment.
  • Certifications in administrative support or basic IT fundamentals.
