Job Description

We are seeking an experienced and dynamic Music School Operations Manager to join our leadership team. This pivotal role is responsible for overseeing the day-to-day administrative and operational functions of Harmony Hub Music Academy, ensuring smooth execution of all programs and services. The ideal candidate will be a proactive problem-solver with exceptional organizational skills, a strong financial acumen, and a passion for music education. You will play a crucial role in optimizing our processes, managing staff, and enhancing the overall student and faculty experience, contributing directly to the academy’s success and growth. This is a leadership position with a performance bonus structure, recognizing your direct impact on our operational excellence and strategic objectives.

Key Responsibilities

  • Manage and oversee all daily administrative operations of the music school, including scheduling, enrollment, facilities management, and customer service.
  • Lead, mentor, and supervise administrative staff, ensuring high performance, professional development, and adherence to academy policies.
  • Develop and implement operational policies and procedures to improve efficiency, productivity, and the overall student experience.
  • Oversee the academy's budget, financial reporting, billing, and payment processing in collaboration with the accounting department.
  • Manage relationships with vendors, suppliers, and external partners to ensure cost-effective and high-quality services.
  • Ensure compliance with all relevant health, safety, and regulatory standards for the facility and programs.
  • Handle student and parent inquiries, feedback, and conflict resolution, maintaining a positive and supportive community environment.
  • Assist in the planning and execution of academy events, recitals, workshops, and marketing initiatives.
  • Utilize and manage the school's administrative software and databases (e.g., CRM, LMS) to track student progress, attendance, and financial data.
  • Prepare regular operational reports for the executive team, identifying trends, challenges, and opportunities for improvement.

Required Skills

  • Proven experience in operations management, preferably within an educational, arts, or non-profit setting.
  • Strong leadership and team management abilities, with a track record of motivating and developing staff.
  • Excellent organizational, planning, and time management skills with meticulous attention to detail.
  • Demonstrated financial management skills, including budgeting, forecasting, and expense control.
  • Exceptional interpersonal and communication skills (written and verbal) for interacting with staff, students, parents, and stakeholders.
  • Proficiency in administrative software, CRM systems, and Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to work autonomously and collaboratively in a fast-paced environment, prioritizing tasks effectively.
  • Problem-solving aptitude with a proactive and solutions-oriented approach.

Preferred Qualifications

  • Bachelor’s degree in Business Administration, Arts Management, Music Education, or a related field.
  • Familiarity with music education principles, instruments, and teaching methodologies.
  • Experience with database management systems specific to educational institutions (e.g., MindBody, Jackrabbit Class).
