Job Description

We are seeking a dedicated and organized Virtual Call Coordinator to join our team. This is a fully remote position focused exclusively on scheduling and coordination; there are no sales responsibilities. As a Virtual Call Coordinator, you will play a crucial role in ensuring the efficient flow of our operations by managing appointments, coordinating schedules, and handling inbound inquiries related to bookings and scheduling. Your excellent organizational skills and attention to detail will be key to our success in delivering seamless service to our guests and partners. This role is perfect for individuals who thrive in a structured environment and enjoy administrative tasks without the pressure of sales targets.

Key Responsibilities

  • Manage and maintain complex calendars for multiple departments or individuals.
  • Schedule and confirm appointments, meetings, and events via phone and email.
  • Handle inbound calls and respond to scheduling inquiries efficiently and professionally.
  • Coordinate logistics for virtual and in-person meetings, ensuring all participants are informed.
  • Document all interactions and scheduling details accurately in our system.
  • Provide exceptional customer service by ensuring a smooth and pleasant scheduling experience.
  • Collaborate with team members to resolve scheduling conflicts and optimize resource allocation.
  • Adhere to established protocols and guidelines for data entry and communication.

Required Skills

  • Exceptional organizational and time management abilities.
  • Strong verbal and written communication skills in English.
  • Proficiency in using scheduling software and virtual communication platforms (e.g., Microsoft Outlook Calendar, Google Calendar, Zoom).
  • High level of attention to detail and accuracy.

Preferred Qualifications

  • Previous experience in a call center, administrative, or scheduling role.
