Job Description
We are seeking a friendly, organized, and professional Receptionist to be the welcoming face and voice of our Lincoln branch office. This role is crucial in creating a positive first impression for our clients and visitors, both in person and over the phone. The ideal candidate will manage front desk operations, provide administrative support, and ensure smooth office functioning. Fluency in a second language, particularly Spanish, is highly preferred and will be recognized with a bonus.
Key Responsibilities
- Greet and welcome clients and visitors with a warm and professional demeanor.
- Answer, screen, and forward incoming phone calls promptly and courteously.
- Manage incoming and outgoing mail and packages.
- Maintain a tidy and organized reception area and common spaces.
- Schedule and confirm appointments for various departments.
- Assist with basic administrative tasks such as filing, data entry, and photocopying.
- Operate standard office equipment, including multi-line phone systems and computers.
- Provide information to callers regarding company services and direct them to the appropriate contact.
- Handle client inquiries and resolve minor issues efficiently, escalating as necessary.
- Assist in coordinating meeting room bookings and preparing meeting spaces.
Required Skills
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational and multitasking abilities.
