Job Description
As an Administrative Aide focused 100% on Medical/Dental operations at Kaiser Permanente in Arvada, you will play a crucial role in ensuring the smooth and efficient functioning of our healthcare facilities. This position involves comprehensive administrative support, coordinating patient information, scheduling appointments, and managing various office tasks essential to our medical and dental services. You will be a vital link in our patient care ecosystem, contributing directly to the positive experience of our members and the operational success of our clinics.
Key Responsibilities
- Manage and organize patient records and medical/dental charts with strict adherence to HIPAA guidelines.
- Schedule and confirm patient appointments, managing appointment calendars efficiently.
- Handle incoming calls, direct inquiries, and provide general information to patients and visitors.
- Process patient registrations, update demographic and insurance information.
- Assist with billing and insurance claim procedures, verifying coverage as needed.
- Prepare and distribute communications, reports, and other documents.
- Maintain cleanliness and organization of the reception and waiting areas.
- Order and manage office supplies, ensuring adequate stock levels.
- Support medical and dental staff with various administrative tasks as required.
Required Skills
- Proven administrative or clerical experience, preferably in a medical or dental setting.
- Excellent organizational and time management skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong communication and interpersonal abilities.
- Ability to handle sensitive patient information with discretion and confidentiality.
- High school diploma or equivalent.
Preferred Qualifications
- Associate's degree in healthcare administration or a related field.
- Experience with electronic health records (EHR) systems.
- Knowledge of medical/dental terminology.
- Familiarity with insurance verification processes.
