Job Description

We are seeking a highly organized and detail-oriented Energy Logistics Admin to join our remote support team. This role is crucial for ensuring the smooth and efficient flow of logistics operations pertaining to our energy sector clients. The successful candidate will provide comprehensive administrative support, manage documentation, track shipments, and communicate effectively with internal teams and external stakeholders, all from a remote work environment.

Key Responsibilities

  • Manage and maintain accurate documentation for energy sector shipments, including permits, customs forms, and manifests.
  • Coordinate with carriers, customs brokers, and internal departments to ensure timely and compliant delivery of energy-related goods.
  • Track and trace shipments, providing real-time updates and resolving any issues or delays proactively.
  • Process invoices, audit bills of lading, and assist with financial reconciliation related to logistics services.
  • Provide exceptional remote administrative support, including scheduling, data entry, and report generation.
  • Communicate effectively with clients and team members via email, phone, and virtual collaboration tools.
  • Ensure compliance with all relevant industry regulations and company policies.
  • Assist in the preparation of proposals, presentations, and other client-facing materials.

Required Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to work independently and manage time effectively in a remote setting.

  • Knowledge of international shipping regulations and customs procedures.
  • Experience with remote team collaboration tools (e.g., Microsoft Teams, Zoom).
