Job Description

We are seeking a highly organized, proactive, and detail-oriented Legal Secretary to join our dynamic legal team. In this pivotal role, you will provide comprehensive administrative and secretarial support to our legal professionals, contributing to the efficient operation of our legal department. This position offers a unique ‘Secure Remote/Office Workspace’ model, allowing for flexibility between remote work and collaborative office presence in Canterbury, ensuring you have the best environment to thrive.

Key Responsibilities

  • Manage and maintain legal documents, files, and records with utmost confidentiality and accuracy.
  • Prepare, format, and proofread legal correspondence, pleadings, contracts, and other documents.
  • Coordinate and schedule meetings, appointments, and travel arrangements for legal staff.
  • Handle incoming and outgoing communications, including phone calls, emails, and mail.
  • Assist with legal research, case management, and e-filing procedures as required.
  • Process invoices, expense reports, and manage billing cycles.
  • Maintain legal calendars and track deadlines, ensuring timely completion of tasks.
  • Facilitate seamless communication and information flow within the legal department and with external parties.
  • Support special projects and administrative tasks as assigned by the legal team.

Required Skills

  • Proven experience as a Legal Secretary or in a similar administrative role within a legal environment.
  • Excellent organizational and time management skills with the ability to prioritize tasks effectively.
  • Proficiency in legal terminology, procedures, and documentation.
  • Exceptional written and verbal communication skills.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • High degree of discretion and confidentiality.
  • Ability to work independently and as part of a collaborative team.
  • Strong attention to detail and accuracy.

Preferred Qualifications

  • Associate's degree or certification in Legal Secretarial Studies or a related field.
  • Experience with legal practice management software (e.g., Clio, MyCase).
  • Familiarity with corporate law or intellectual property.
  • Previous experience in a large corporate legal department or technology company.
  • Knowledge of Google Workspace applications.
