Job Description
We are seeking a highly organized and proactive Life Admin Assistant with a strong focus on personal organization to support our busy executives and high-net-worth clients. This role is crucial for ensuring the smooth operation of personal and professional administrative tasks, allowing our clients and executives to focus on their core responsibilities. The ideal candidate will be detail-oriented, possess excellent time management skills, and be adept at anticipating needs and managing multiple priorities with discretion and professionalism.
Key Responsibilities
- Manage complex calendars, scheduling appointments, meetings, and personal engagements.
- Coordinate travel arrangements, including flights, accommodation, and ground transportation.
- Handle personal bill payments, financial record keeping, and expense reporting.
- Organize and maintain digital and physical files, ensuring easy retrieval and confidentiality.
- Research and procure personal items, gifts, and services as requested.
- Act as a liaison with vendors, contractors, and service providers for household and personal needs.
- Assist with event planning and coordination for personal gatherings and functions.
- Prepare correspondence, documents, and reports with precision and accuracy.
- Execute various errands and special projects as assigned.
- Maintain strict confidentiality regarding all personal and sensitive information.
Required Skills
- Minimum 2 years of experience in an administrative assistant, personal assistant, or executive assistant role.
- Proven ability to manage multiple tasks, prioritize effectively, and meet deadlines.
- Exceptional organizational and time management skills.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Strong written and verbal communication skills.
