Job Description

We are seeking an experienced and dynamic Music School Operations Manager to lead the day-to-day administrative and operational functions of the Cedar Rapids Conservatory of Music. This leadership role is critical to ensuring the smooth and efficient running of our school, supporting both faculty and students, and contributing to the overall success and growth of our programs. The ideal candidate will possess strong organizational skills, a passion for music education, and a proven ability to manage diverse responsibilities in a fast-paced environment. This position offers a performance bonus structure based on key operational metrics and student retention.

Key Responsibilities

  • Oversee daily administrative operations, including scheduling, registration, and student enrollment processes.
  • Manage and optimize facility usage, ensuring classrooms and performance spaces are well-maintained and equipped.
  • Supervise administrative staff, providing guidance, training, and performance feedback.
  • Develop and implement operational policies and procedures to enhance efficiency and service quality.
  • Collaborate with the Artistic Director and faculty to plan and execute student recitals, concerts, and special events.
  • Manage vendor relationships, procurement of supplies, and inventory control.
  • Monitor budget adherence for operational expenses and contribute to financial planning.
  • Handle student and parent inquiries, addressing concerns, and ensuring a positive experience.
  • Maintain accurate records, databases, and administrative systems.
  • Identify opportunities for operational improvements and implement solutions.

Required Skills

  • Minimum 4 years of experience in an operations management or senior administrative role, preferably within an educational or arts organization.
  • Proven leadership and team management abilities.
  • Excellent organizational and time management skills with meticulous attention to detail.
  • Strong verbal and written communication skills.
  • Proficiency in office software (MS Office Suite, Google Workspace) and experience with CRM or school management systems.
  • Ability to multitask, prioritize, and manage complex projects effectively.
  • Financial literacy and experience with budget oversight.

Preferred Qualifications

  • Bachelor's degree in Business Administration, Arts Management, Education, or a related field.
  • Familiarity with music education software or scheduling platforms.
  • Knowledge of the local arts and education community in Cedar Rapids.
  • A background in music or performing arts, either professionally or through extensive personal experience.
