Job Description

We are seeking an exceptionally organized, proactive, and discreet Personal Assistant to provide comprehensive support to a dynamic founder. This pivotal role requires an individual who can anticipate needs, manage complex schedules, handle confidential information with utmost integrity, and act as a reliable right hand in both professional and personal capacities. You will be instrumental in ensuring the founder’s operations run smoothly, allowing them to focus on strategic initiatives and growth.

Key Responsibilities

  • Manage and maintain a highly complex and demanding calendar, scheduling meetings, appointments, and travel arrangements efficiently.
  • Act as a primary point of contact, screening calls and emails, and prioritizing correspondence.
  • Coordinate extensive domestic and international travel logistics, including flights, accommodations, ground transportation, and detailed itineraries.
  • Prepare and compile documents, presentations, and reports, ensuring accuracy and professionalism.
  • Handle confidential information and sensitive matters with discretion and professionalism.
  • Assist with personal tasks and errands as required, demonstrating flexibility and resourcefulness.
  • Manage expenses, process invoices, and reconcile corporate credit card statements.
  • Organize and coordinate events, meetings, and conferences, from conception to execution.
  • Conduct research, gather information, and synthesize findings on various topics.
  • Serve as a liaison between the founder and internal/external stakeholders.

Required Skills

  • Proven experience as a Personal Assistant or Executive Assistant supporting C-level executives or founders.
  • Exceptional organizational and time management skills with keen attention to detail.
  • High level of proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Excellent written and verbal communication skills in English and Spanish.
  • Ability to work independently, exercise good judgment, and maintain confidentiality.
  • Proactive problem-solver with strong decision-making capabilities.
  • Flexibility and adaptability to changing priorities and demands.

Preferred Qualifications

  • Bachelor's degree in Business Administration, Communications, or a related field.
  • Experience with international travel coordination.
  • Familiarity with project management tools or CRM software.
  • Demonstrated ability to thrive in a fast-paced, high-pressure environment.
