Job Description

We are seeking a dedicated and detail-oriented Records Management Specialist to provide critical support for a federal agency project. This role focuses on comprehensive records management, including the organization, classification, and maintenance of digital and physical assets, with a particular emphasis on managing information that may span across modern digital platforms, potentially including social media archives or related digital content (e.g., as conceptualized by ‘Pinterest’ type data streams or digital asset collections). The successful candidate will ensure compliance with federal records management regulations and policies, contributing to the efficient and secure handling of sensitive government information. This position requires strong organizational skills, meticulous attention to detail, and a proactive approach to information governance.

Key Responsibilities

  • Develop, implement, and maintain records management policies and procedures in accordance with federal guidelines.
  • Classify, index, and store records accurately, ensuring proper retrieval and disposition schedules are applied.
  • Manage the lifecycle of digital and physical records, from creation to archiving or destruction.
  • Support federal agency staff in understanding and adhering to records management best practices.
  • Assist with the digitization of legacy records and the integration of new digital information streams.
  • Conduct regular audits of records systems to ensure data integrity and compliance.
  • Provide training and guidance on records management tools and principles.
  • Collaborate with IT teams to ensure secure storage and accessibility of electronic records.
  • Prepare reports on records management activities and compliance status.
  • Address specific challenges related to managing diverse digital assets and content, including potential social media artifacts or visual data collections.

Required Skills

  • Minimum of 3 years of experience in records management, preferably within a federal government or contracting environment.
  • Strong understanding of federal records management regulations (e.g., NARA guidelines, FOIA, Privacy Act).
  • Proficiency with electronic records management systems (ERMS) and document management software.
  • Excellent organizational and analytical skills with a keen eye for detail.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Strong written and verbal communication skills.
  • U.S. Citizenship is required due to federal contract requirements.

Preferred Qualifications

  • Bachelor's degree in Library Science, Information Management, Archives, or a related field.
  • Certification in Records Management (CRM) or equivalent.
  • Experience with digital asset management (DAM) systems.
  • Familiarity with data governance and information lifecycle management.
  • Prior experience supporting projects related to social media archiving or digital content preservation for large organizations.
