Job Description
We are seeking a highly organized and detail-oriented Paleontology Administrative Aide to provide essential administrative support to our Paleontology research faculty and staff. This office-based role is critical to the smooth operation of our department, ensuring that our researchers can focus on their vital work in uncovering the mysteries of ancient life. The ideal candidate will be proactive, possess excellent communication skills, and be eager to contribute to a dynamic academic environment.
Key Responsibilities
- Provide comprehensive administrative support to faculty and researchers within the Paleontology program.
- Manage schedules, coordinate meetings, and handle correspondence.
- Assist with data entry, record keeping, and maintenance of departmental databases.
- Prepare and edit documents, presentations, and research reports.
- Process departmental expenses, requisitions, and travel arrangements.
- Maintain office supplies and equipment, ensuring a well-stocked and functional work environment.
- Serve as a primary point of contact for inquiries related to the Paleontology program.
- Assist with the organization of departmental events, workshops, and seminars.
- Support the preparation and submission of grant proposals and research applications.
- Facilitate communication between faculty, students, and external partners.
Required Skills
- High school diploma or GED
- 1+ year of administrative or office support experience
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Excellent organizational skills and attention to detail
- Strong written and verbal communication abilities
- Ability to manage multiple tasks and prioritize effectively
- Demonstrated ability to work independently and as part of a team
Preferred Qualifications
- Associate's degree or Bachelor's degree in a relevant field (e.g., Geosciences, Biology, Anthropology)
- Experience in an academic or scientific setting
- Familiarity with university administrative systems and procedures
- Basic understanding of scientific terminology, particularly in paleontology or geology
- Experience with database management software
