Job Description
We are seeking an exceptionally organized, proactive, and discreet Executive Assistant to provide comprehensive support to a senior executive. This unique role combines traditional high-level administrative assistance with elements of personal coaching and well-being support. The ideal candidate will possess not only superior organizational and communication skills but also a high degree of emotional intelligence and a genuine interest in facilitating personal and professional growth. You will be instrumental in managing complex schedules, confidential information, and ensuring the executive’s personal and professional life runs seamlessly, allowing them to focus on strategic priorities. This role demands unwavering professionalism, a positive attitude, and the ability to anticipate needs before they arise.
Key Responsibilities
- Manage and optimize complex calendars, including scheduling meetings, appointments, and travel arrangements (domestic and international).
- Act as a primary liaison, filtering communications and managing correspondence with exceptional discretion and professionalism.
- Prepare presentations, reports, and other documents, ensuring accuracy and adherence to company standards.
- Handle sensitive and confidential information with the utmost integrity and discretion.
- Proactively identify and address potential conflicts or issues, offering solutions to maintain efficiency.
- Assist with personal scheduling, wellness initiatives, and other support elements that contribute to the executive's overall well-being and productivity, acting as a confidential sounding board.
- Coordinate and plan executive events, conferences, and internal meetings, managing all logistical details.
- Process expense reports, manage invoices, and track budgets with meticulous attention to detail.
- Anticipate needs, prioritize tasks, and manage multiple projects simultaneously in a fast-paced environment.
Required Skills
- Minimum of 5 years of experience in a high-level executive administrative support role.
- Demonstrated ability to maintain absolute confidentiality and exercise impeccable discretion.
- Exceptional verbal and written communication skills, with a professional and articulate demeanor.
- Superior organizational and time management abilities, with a keen eye for detail.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant business software.
- Strong problem-solving skills and the ability to work independently and as part of a team.
- High level of emotional intelligence and interpersonal skills.
- Proactive, resourceful, and adaptable with a 'can-do' attitude.
Preferred Qualifications
- Bachelor's degree in Business Administration, Communications, Psychology, or a related field.
- Certification in coaching (e.g., ICF Associate Certified Coach).
- Experience supporting C-suite executives or high-net-worth individuals.
- Familiarity with project management methodologies or tools.
- Experience in a global corporate environment.
