Job Description
We are seeking a highly organized and proactive Office Services Coordinator to join our team in Yonkers, NY. In this professional environment, you will be instrumental in ensuring the smooth and efficient operation of our office, providing essential support to various departments and maintaining a welcoming and productive atmosphere for employees and visitors alike. This role is critical in managing daily office functions, coordinating resources, and supporting our diverse operational needs.
Key Responsibilities
- Manage front desk operations, including greeting visitors, answering phones, and directing inquiries appropriately.
- Coordinate meeting room schedules, set-ups, and ensure necessary equipment is available and functional.
- Handle incoming and outgoing mail, packages, and deliveries, ensuring timely distribution and dispatch.
- Maintain office supply inventory, place orders, and organize storage areas efficiently.
- Assist with office equipment maintenance and troubleshoot minor issues, coordinating with vendors for repairs as needed.
- Support event planning and coordination for internal meetings, conferences, and social events.
- Assist with onboarding logistics for new hires, including workstation setup and access card distribution.
- Ensure office common areas are tidy, well-stocked, and presentable at all times.
- Process invoices, expense reports, and other administrative documents accurately and promptly.
- Provide general administrative support to various departments as required, including data entry and document preparation.
Required Skills
- High school diploma or equivalent.
- 1+ year of experience in an office administrative or coordination role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent organizational and time management skills with the ability to prioritize tasks effectively.
- Strong verbal and written communication skills.
- Ability to work independently and as part of a team in a fast-paced environment.
- Attention to detail and problem-solving abilities.
- Professional demeanor and strong customer service orientation.
Preferred Qualifications
- Associate's degree or higher.
- Experience with office management software or facility management systems.
