Job Description
We are seeking a highly organized and detail-oriented Administrative Project Assistant with an Engineering focus to support our dynamic project teams in Murrieta, CA. In this vital role, you will be instrumental in the smooth operation of our engineering projects by providing comprehensive administrative and project coordination support. You will work closely with project managers, engineers, and other stakeholders, ensuring timely completion of administrative tasks, managing project documentation, and facilitating effective communication. This position is ideal for an individual with a strong administrative background who is eager to apply their skills in a fast-paced engineering and construction environment.
Key Responsibilities
- Provide administrative support to project managers and engineering teams, including scheduling meetings, preparing presentations, and managing correspondence.
- Organize and maintain project documentation, files, and records, ensuring accuracy and accessibility through electronic and physical filing systems.
- Assist in tracking project schedules, deadlines, and deliverables, proactively flagging potential issues to project leads.
- Coordinate travel arrangements, expense reports, and other logistical needs for project personnel.
- Prepare and distribute project reports, minutes of meetings, and other communications.
- Assist with procurement processes, including preparing purchase orders and tracking material deliveries.
- Support onboarding of new team members and manage office supply inventory.
- Facilitate communication between internal departments, external vendors, and clients as needed.
- Perform data entry and update project management software with current information.
Required Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time management skills with strong attention to detail.
- Strong written and verbal communication skills.
- Ability to multitask and prioritize effectively in a fast-paced environment.
- Proven ability to work independently and as part of a team.
- Experience with document control and information management systems.
Preferred Qualifications
- Associate's degree in Business Administration, Project Management, or a related field.
- 1+ years of administrative support experience in an engineering, construction, or related technical industry.
- Familiarity with project management software (e.g., Primavera P6, Microsoft Project).
- Basic understanding of engineering terminology and project lifecycle.
