Job Description
We are seeking a highly organized, discreet, and proactive Private Estate Assistant to provide comprehensive support to a prominent family in their private residence in Pacific Heights, San Francisco. Key Responsibilities
- Manage and maintain a highly organized schedule and calendar for principals, including appointments, travel, and social engagements.
- Oversee household staff (e.g., housekeepers, gardeners) by coordinating schedules, assigning tasks, and ensuring high standards of service.
- Handle all correspondence, including emails, mail, and phone calls, exercising utmost discretion and professionalism.
- Manage household budgets, track expenses, reconcile accounts, and prepare financial reports in collaboration with financial advisors.
- Coordinate and supervise maintenance, repairs, and improvements for the estate, liaising with vendors and contractors.
- Arrange complex domestic and international travel logistics, including itineraries, accommodations, and transportation.
- Assist with event planning and execution for private functions, managing guest lists, catering, and logistics.
- Procure household supplies, personal items, and gifts, ensuring quality and timely delivery.
- Maintain meticulous records and filing systems, both digital and physical.
- Perform various ad-hoc administrative tasks and special projects as requested by the principals.
Required Skills
- Minimum of 2 years of experience in an executive assistant, personal assistant, or private household management role.
- Exceptional organizational and time management skills with keen attention to detail.
- Proven ability to maintain strict confidentiality and exercise discretion.
- Strong communication skills, both written and verbal, with a professional demeanor.
