Job Description

We are seeking a highly organized and discreet Personal Assistant to support a high-profile creative professional within our client network, ensuring their professional and personal endeavors are seamlessly managed. You will be instrumental in handling a broad range of administrative, organizational, and logistical tasks, allowing them to focus on their creative output. The ideal candidate is highly organized, discreet, proactive, and possesses excellent communication skills, with a keen eye for detail and an ability to anticipate needs.

Key Responsibilities

  • Manage complex calendars, scheduling appointments, meetings, and travel arrangements for the creative professional.
  • Coordinate projects, tracking deadlines and deliverables, and communicating updates to relevant stakeholders.
  • Handle correspondence, including drafting emails, letters, and other communications.
  • Organize and maintain digital and physical files, ensuring confidentiality and easy retrieval.
  • Conduct research and gather information as requested, summarizing findings for easy comprehension.
  • Assist with event planning and coordination, from concept to execution.
  • Process invoices, expense reports, and manage budgets for specific projects.
  • Act as a primary point of contact, liaising with internal teams, clients, and external partners.
  • Run errands and perform other ad-hoc tasks as required to support the creative professional's needs.

Required Skills

  • Minimum 1 year of experience as a Personal Assistant, Executive Assistant, or similar administrative role.
  • Exceptional organizational and time management skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong written and verbal communication abilities.
  • High degree of discretion and ability to handle confidential information.
  • Proactive problem-solver with a strong sense of initiative.
  • Ability to multitask and prioritize effectively in a fast-paced environment.

Preferred Qualifications

  • Associate's or Bachelor's degree in Business Administration, Communications, Arts Management, or a related field.
  • Experience supporting professionals in creative industries (e.g., arts, media, design, architecture).
  • Familiarity with project management tools.
