Job Description

We are seeking a highly professional and welcoming Receptionist Representative to be the first point of contact for our patients and visitors. The ideal candidate will possess an impeccable professional look, excellent communication skills, and a strong commitment to providing outstanding customer service. You will manage incoming calls, greet guests, schedule appointments, and perform various administrative tasks to ensure the smooth operation of our front office. This role is crucial in creating a positive and efficient experience for everyone interacting with Palomar Health.

Key Responsibilities

  • Warmly greet and welcome patients and visitors with a professional demeanor upon arrival.
  • Manage a multi-line phone system, directing calls, taking messages, and providing information.
  • Schedule and confirm appointments, ensuring accuracy and efficiency.
  • Maintain a tidy and presentable reception area, reflecting the professional standards of Palomar Health.
  • Process incoming and outgoing mail and deliveries.
  • Assist with patient registration and intake procedures, ensuring all necessary documentation is completed.
  • Provide general administrative support, including data entry, filing, and photocopying.
  • Handle patient inquiries and resolve minor issues with professionalism and discretion.
  • Uphold patient confidentiality and adhere to all HIPAA regulations.
  • Collaborate with other administrative staff and departments to ensure seamless operations.

Required Skills

  • Proven experience in a reception, front desk, or customer service role (1 year minimum).
  • Exceptional interpersonal and communication skills (written and verbal).
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to maintain a professional appearance and demeanor at all times.

Preferred Qualifications
