Job Description
We are seeking a detail-oriented and organized Payroll Admin Assistant with a strong finance focus to join our dynamic team. This role is crucial for ensuring the accurate and timely processing of weekly payroll for a large workforce. The ideal candidate will have a solid understanding of payroll principles, excellent data entry skills, and a commitment to maintaining confidentiality. You will play a key role in supporting our finance department, contributing to the efficient operation of payroll services and compliance with all relevant regulations.
Key Responsibilities
- Process weekly payroll for all employees, ensuring accuracy and adherence to company policies and federal/state regulations.
- Maintain and update employee payroll records, including new hires, terminations, salary changes, and deductions.
- Review timesheets and resolve discrepancies in a timely manner.
- Prepare and distribute paychecks or direct deposit statements.
- Assist with the calculation and reconciliation of payroll taxes and other deductions.
- Respond to employee inquiries regarding payroll, deductions, and timekeeping.
- Generate payroll reports for management and accounting purposes.
- Support year-end payroll activities, including W-2 preparation.
- Collaborate with HR and Finance departments to ensure seamless information flow.
- Uphold strict confidentiality of all payroll and employee information.
Required Skills
- Proven experience in payroll processing, preferably with a weekly pay cycle.
- Strong understanding of payroll laws and regulations (federal and Ohio).
- Proficiency in payroll software (e.g., ADP, Workday, Paychex) and Microsoft Office Suite, especially Excel.
- Exceptional attention to detail and accuracy.
- Excellent organizational and time management skills.
- Ability to handle confidential information with discretion.
- Strong communication and interpersonal skills.
Preferred Qualifications
- Associate's degree in Accounting, Finance, Business Administration, or related field.
- Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) is a plus.
- Experience with large enterprise payroll systems.
- Prior experience in the healthcare industry.
