Job Description
We are seeking a highly organized and detail-oriented Administrative Aide to join our dynamic healthcare team. This role is crucial for ensuring the smooth operation of our office by providing comprehensive administrative support, particularly with a focus on medical and dental documentation and scheduling. The ideal candidate will possess excellent communication skills, a proactive attitude, and the ability to manage multiple tasks effectively in a fast-paced environment. Key Responsibilities
- Manage and maintain appointment schedules for medical and dental staff, ensuring optimal flow and patient satisfaction.
- Handle incoming and outgoing communications, including phone calls, emails, and mail, with professionalism and efficiency.
- Prepare and process medical records, patient forms, and insurance documentation accurately and confidentially.
- Assist with billing inquiries, payment processing, and insurance verification for medical and dental services.
- Order and maintain office supplies, ensuring adequate stock levels for daily operations.
- Organize and maintain both physical and electronic filing systems, adhering to strict confidentiality guidelines (HIPAA).
- Support healthcare providers with various administrative tasks, freeing them to focus on patient care.
- Coordinate meetings, prepare agendas, and record minutes as required.
- Provide exceptional customer service to patients, visitors, and internal staff.
Required Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent organizational and time management skills.
- Strong verbal and written communication abilities.
- Demonstrated ability to handle sensitive information with discretion and maintain patient confidentiality.
- High level of attention to detail and accuracy.
- Ability to work independently and as part of a team.
Preferred Qualifications
- Previous experience in a medical, dental, or healthcare administrative role.
- Familiarity with medical terminology and healthcare billing processes.
- Experience with electronic health record (EHR) systems.
- Associate’s degree in Medical Office Administration or a related field.
