Job Description

We are seeking a highly motivated and exceptionally organized Remote Executive Aide to provide comprehensive administrative support to senior leadership. This is a 100% remote position, offering a high degree of flexibility while requiring a proactive, detail-oriented, and independent professional. The ideal candidate will possess outstanding communication skills, impeccable discretion, and the ability to manage multiple priorities in a fast-paced virtual environment. This role is crucial for ensuring the smooth operation of executive functions, contributing directly to leadership effectiveness and strategic initiatives.

Key Responsibilities

  • Manage complex calendars, including scheduling meetings, appointments, and conferences across multiple time zones.
  • Coordinate domestic and international travel arrangements, including itineraries, bookings, and expense reports.
  • Prepare and edit correspondence, presentations, reports, and other documents for executive review.
  • Act as a primary point of contact, screening and prioritizing communications (email, phone calls) for executives.
  • Organize and maintain electronic filing systems, ensuring accessibility and confidentiality of sensitive information.
  • Assist with special projects and initiatives, conducting research and compiling data as needed.
  • Process invoices, track budgets, and manage departmental expenses with accuracy.
  • Facilitate virtual meetings, including setting up technology, preparing agendas, and distributing materials.
  • Handle confidential information with the utmost discretion and professionalism.

Required Skills

  • Minimum of 3 years of experience supporting C-level or senior executives.
  • Exceptional organizational and time management skills with the ability to prioritize effectively.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Zoom, Microsoft Teams).
  • Excellent written and verbal communication skills.
  • High level of discretion and ability to handle confidential information.
  • Proactive problem-solving abilities and strong attention to detail.
  • Ability to work independently and collaboratively in a fully remote setting.

Preferred Qualifications

  • Bachelor's degree in Business Administration or a related field.
  • Experience with financial management software (e.g., SAP, Oracle) or expense reporting systems (e.g., Concur).
  • Familiarity with CRM systems (e.g., Salesforce).
  • Certification in administrative professional training.
