Job Description

We are seeking a highly organized, proactive, and discreet Executive Assistant to provide comprehensive administrative support to our senior executives. This pivotal role requires an individual with exceptional communication and organizational skills, capable of managing complex schedules, coordinating meetings, preparing crucial documents, and handling sensitive information with the utmost confidentiality. A proactive approach and strong problem-solving abilities are essential. Key Responsibilities

  • Manage complex calendars and schedule appointments, meetings, and travel arrangements for executives.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Organize and coordinate internal and external meetings, including preparing agendas and taking minutes.
  • Process expense reports and manage office supplies inventory.
  • Act as a primary point of contact for internal and external stakeholders.
  • Assist in special projects and initiatives as assigned by executives.
  • Maintain confidentiality of all sensitive information.
  • Facilitate efficient communication flow within the executive team and across departments.

Required Skills

  • Proven experience as an Executive Assistant or similar administrative role (minimum 4 years).
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Strong organizational and time-management abilities.
  • High level of discretion and confidentiality.
  • Ability to prioritize and manage multiple tasks effectively.

Preferred Qualifications

  • Bachelor's degree in Business Administration or related field.
  • Experience working in the financial services industry.
  • Familiarity with project management tools.
  • Ability to anticipate needs and proactively address issues.
