Job Description
We are seeking a highly organized and proactive Administrative Support Executive to provide comprehensive administrative assistance to our leadership and teams across various departments. This is a fully remote position, open to candidates located anywhere in the USA. You will be instrumental in ensuring the smooth operation of daily administrative tasks, managing schedules, coordinating projects, and facilitating communication to support our fast-paced environment. This role requires exceptional attention to detail, strong communication skills, and the ability to work independently while maintaining strong virtual connections with colleagues.
Key Responsibilities
- Provide executive-level administrative support, including calendar management, travel arrangements, and expense reporting.
- Organize and schedule meetings, prepare agendas, and distribute meeting minutes.
- Manage and prioritize incoming communications, including emails and phone calls, and respond professionally.
- Assist with project coordination, data entry, and presentation preparation.
- Maintain organized digital and physical filing systems.
- Facilitate seamless communication flow within teams and across departments.
- Order and manage office supplies for remote teams, as needed.
- Handle confidential information with discretion and professionalism.
Required Skills
- 3+ years of experience in an administrative support or executive assistant role.
- Proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets, Slides) or Microsoft Office Suite.
- Excellent written and verbal communication skills.
- Strong organizational and time management abilities.
- Ability to work independently and collaboratively in a remote team environment.
- High level of discretion and ability to handle confidential information.
- Proven problem-solving skills and proactive approach to tasks.
Preferred Qualifications
- Bachelor's degree in Business Administration or a related field.
- Experience working in a large, fast-paced technology company.
- Familiarity with project management tools (e.g., Asana, Trello).
- Experience supporting multiple executives or teams simultaneously.
