Job Description

We are seeking a highly organized and proactive Administrative Support Executive to join our remote team. This vital role involves providing comprehensive administrative and operational support to our leadership and various departments across the United States. You will be instrumental in ensuring the smooth execution of daily operations, managing schedules, coordinating projects, and maintaining clear communication channels in a fast-paced, remote-first environment. This is a 100% remote position, offering flexibility and the opportunity to contribute to a leading financial services company from anywhere in the USA.

Key Responsibilities

  • Manage complex calendars, schedule meetings, and coordinate travel arrangements (as needed for remote executives).
  • Prepare and edit correspondence, reports, presentations, and other documents with high accuracy and attention to detail.
  • Organize and maintain digital and physical files, ensuring easy accessibility and compliance with company policies.
  • Facilitate communication across departments, ensuring timely dissemination of information and follow-up on action items.
  • Assist in project coordination, tracking deadlines, and preparing status updates for various initiatives.
  • Process invoices, expense reports, and other financial documentation in accordance with company guidelines.
  • Onboard new remote team members by assisting with setup and initial administrative tasks.
  • Proactively identify and address administrative needs to enhance efficiency and productivity for the team.

Required Skills

  • Minimum of 2 years of experience in an administrative support role, preferably in a remote setting.
  • Exceptional organizational and time management skills with the ability to prioritize effectively.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Slack, Microsoft Teams).
  • Strong written and verbal communication skills.
  • Ability to work independently with minimal supervision and as part of a distributed team.
  • High level of discretion and professionalism in handling confidential information.
  • Problem-solving aptitude and a proactive approach to task management.

Preferred Qualifications

  • Associate's or Bachelor's degree in Business Administration or a related field.
  • Experience supporting executive-level management in a large organization.
  • Familiarity with project management software (e.g., Asana, Trello).
  • Experience in the financial services or tax industry.
