Job Description

We are seeking a compassionate and highly organized Intake Receptionist to join our dedicated team in Pasco, Washington. As the first point of contact for clients seeking legal and social services, you will play a critical role in creating a welcoming and supportive environment. This position involves managing initial inquiries, conducting preliminary screenings, providing administrative support, and connecting individuals with the appropriate resources within our organization or external partners. The ideal candidate will possess excellent communication skills, a strong ability to empathize, and a commitment to serving vulnerable populations.

Key Responsibilities

  • Greet and welcome clients and visitors in a professional and empathetic manner, both in-person and over the phone.
  • Conduct initial client intake interviews and screenings to gather essential information and determine eligibility for services.
  • Maintain strict confidentiality of all client information and sensitive data.
  • Schedule appointments for legal staff and manage their calendars efficiently.
  • Answer and direct incoming calls, taking accurate messages and providing general information about CLS services.
  • Assist clients with completing necessary paperwork and forms.
  • Manage the reception area, ensuring it remains tidy and professional.
  • Provide administrative support to legal staff, including photocopying, scanning, filing, and data entry.
  • Refer clients to appropriate internal departments or external community resources as needed.
  • Collaborate with legal and social service teams to ensure seamless client transitions and support.
  • Handle incoming and outgoing mail and deliveries.
  • Maintain office supplies inventory and place orders when necessary.

Required Skills

  • High school diploma or equivalent.
  • Minimum of 1 year of experience in a reception, administrative, or customer service role, preferably in a legal or social services environment.
  • Excellent verbal and written communication skills in English.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational skills and attention to detail.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Compassionate and empathetic approach to interacting with clients from diverse backgrounds.
  • Ability to multitask and prioritize in a fast-paced environment.

Preferred Qualifications

  • Bilingual proficiency in English and Spanish is highly preferred.
  • Experience working with vulnerable populations or in a non-profit setting.
  • Familiarity with case management software.
  • Knowledge of local community resources in the Pasco area.
