Job Description

We are seeking an exceptionally organized, proactive, and discreet Personal Assistant to support our Board of Directors. This critical role requires a high degree of professionalism, meticulous attention to detail, and the ability to manage complex schedules and confidential information with the utmost integrity. The Personal Assistant will be responsible for providing comprehensive administrative and logistical support to the Board, ensuring smooth operations and effective communication.

Key Responsibilities

  • Manage complex calendars and coordinate meetings, including scheduling, preparing agendas, distributing materials, and arranging logistics for Board meetings and related engagements.
  • Organize and maintain confidential files and records, ensuring strict adherence to data privacy and security protocols.
  • Coordinate travel arrangements, including flights, accommodation, and ground transportation, for Board members.
  • Prepare and process expense reports accurately and in a timely manner.
  • Draft, proofread, and format a variety of documents, including correspondence, presentations, and reports, ensuring high quality and accuracy.
  • Serve as a primary point of contact for internal and external inquiries related to Board activities, exercising excellent judgment and discretion.
  • Assist with special projects and initiatives as directed by the Board or senior leadership.
  • Anticipate needs and proactively address potential issues, demonstrating strong problem-solving skills.
  • Maintain a professional and welcoming environment for Board members and visitors.

Required Skills

  • Minimum of 8 years of executive administrative support experience, preferably supporting C-suite executives or Board members.
  • Exceptional organizational and time management skills with the ability to prioritize effectively in a fast-paced environment.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Excellent written and verbal communication skills, with a keen eye for detail and grammar.
  • Demonstrated ability to handle highly confidential information with discretion and integrity.
  • Proactive, resourceful, and able to work independently with minimal supervision.
  • Strong interpersonal skills and the ability to build rapport with diverse stakeholders.

Preferred Qualifications

  • Bachelor's degree in Business Administration, Communications, or a related field.
  • Experience with corporate governance software or board portal platforms.
  • Notary Public commission.
