Job Description

We are seeking a highly organized, proactive, and discreet Remote EA Associate to provide comprehensive administrative support to senior executives. This is a 100% remote position, offering the flexibility to work from your home office while being an integral part of a dynamic and fast-paced team. The ideal candidate will be adept at managing complex schedules, coordinating travel, and handling confidential information with the utmost professionalism. Key Responsibilities

  • Manage intricate calendars, scheduling meetings, appointments, and conferences across multiple time zones.
  • Coordinate domestic and international travel arrangements, including flights, accommodation, and ground transportation.
  • Prepare and submit expense reports accurately and on time.
  • Serve as a primary point of contact, screening and prioritizing communications (emails, calls) and responding proactively.
  • Prepare presentations, reports, and other documents, ensuring accuracy and adherence to company standards.
  • Organize and facilitate remote meetings, including technology setup, agenda distribution, and minute taking.
  • Assist with special projects and initiatives as assigned, demonstrating flexibility and adaptability.
  • Maintain confidentiality of all sensitive information and exercise discretion in all interactions.
  • Develop and maintain strong working relationships with internal and external stakeholders.

Required Skills

  • Minimum of 2 years of experience as an Executive Assistant or Senior Administrative Assistant.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
  • Exceptional organizational and time management skills with the ability to multitask and prioritize effectively.
  • Strong written and verbal communication skills.
  • High level of discretion and ability to handle confidential information.
  • Demonstrated ability to work independently and proactively in a remote environment.
  • Problem-solving aptitude and strong attention to detail.

Preferred Qualifications

  • Bachelor's degree in Business Administration or a related field.
  • Experience with virtual collaboration tools and remote work best practices.
  • Familiarity with financial services industry terminology and practices.
  • Experience managing executives with a global scope.
