Job Description
We are seeking a highly motivated and proactive Think Tank Executive Aide to support our senior leadership team. This role offers an exceptional opportunity for an ambitious individual to gain invaluable exposure to the world of public policy, research, and high-level strategic planning. The successful candidate will be instrumental in ensuring the smooth operation of executive functions, contributing directly to our mission, and demonstrating significant growth potential within the organization.
Key Responsibilities
- Provide comprehensive administrative and executive support to senior leadership, including scheduling, correspondence, and meeting preparation.
- Manage complex calendars, coordinate travel arrangements, and process expense reports with meticulous attention to detail.
- Prepare, edit, and proofread reports, presentations, policy briefs, and other critical documents.
- Conduct background research and compile information to support executive decision-making and project development.
- Act as a primary point of contact for internal and external stakeholders, handling inquiries professionally and efficiently.
- Assist in organizing high-profile events, roundtables, and conferences, from logistics to guest management.
- Maintain confidential records and information with the utmost discretion and integrity.
- Proactively identify opportunities to improve executive workflow and operational efficiency.
Required Skills
- Exceptional organizational and time management skills with the ability to prioritize effectively in a fast-paced environment.
- Superior written and verbal communication skills in English, with a strong command of grammar, spelling, and style.
- High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Proven ability to exercise discretion and maintain confidentiality.
- Strong interpersonal skills and a professional demeanor.
- A proactive and resourceful approach to problem-solving.
Preferred Qualifications
- Bachelor's degree in Political Science, Public Administration, Communications, Business, or a related field.
- Experience working in a professional office environment, ideally supporting senior executives.
- Familiarity with the Canadian public policy landscape or think tank operations.
- Proficiency in French is an asset.
